The Procurement Associate will perform various tasks in support of the Procurement function. This includes providing administrative support to buying teams to ensure prompt and accurate purchase and delivery of materials (equipment, goods, parts, etc.) and services. Additionally, this role will provide administrative/tactical support for Phillips 66 systems to support the P2P process.
The following is a summary of key accountabilities for this position:
• Provide tactical/administration support to Procurement functional teams (i.e., Buying, OLA, and Master Data) [60%]
• Facilitate resolution of procurement transaction and data issues to streamline the P2P process [40%]
Responsibilities May Include
Providing support that promotes efficient and effective transactional delivery for materials and services purchases, including:
Adhering to the Standard Purchasing Process.
Converting requests for quotations to purchase orders.
Coordinating order confirmation receipt and documentation.
Reviewing confirmations and updating purchase orders within prescribed delegation of authority limits.
Monitoring and following up on open order statuses to ensure delivery dates are met.
Effectively communicating with suppliers, client groups and buying category team members.
Providing backup support for other buying category teams on an as-needed basis.
Functioning as the single point of contact for questions related to the resolution of the buying category team's blocked invoices. Escalating invoice resolution issues to BU/site personnel as required.
Guiding and directing client groups on how to effectively transact business with the buying category teams.
Providing tactical/administration support for Data Management team, including:
Setting-up new "Material" and "Vendor" Master numbers.
Performing additions, changes and deletions to the Material Master database.
Completing various activities to facilitate the execution of the P2P process in Phillips 66 systems, including:
Performing PO Data Entry.
Processing material transfers.
Providing tactical/administration support for users of SAP Outline Agreements, including:
Creating/maintaining SAP Outline Agreements.
Converting vendor rate sheets to excel spreadsheets.
Making requests for material number and service number creation.
Creating and uploading zprice files into outline agreement.
Legally authorized to work in the job posting country
High School Diploma or GED equivalent
Knowledge of purchasing procedures / Master Data / P2P transactions / OLAs
Proficient computer software skills - Excel, Access, Word
Proficient in the use of ERP search routines, electronic requisitioning, and electronic interfaces with vendors
Associates or Bachelor's degree from an accredited college or university
1 or more years of experience using SAP MM module
Experience processing purchasing transactions for a refining, petrochemicals, and/or midstream facility
1 or more years of procurement experience
Knowledge or firsthand experience with refinery, chemical plant or midstream work processes
